Privacy Policy – CoachClip BV (English)

This Privacy Policy (“Policy”) explains how CoachClip BV (“CoachClip”, “we”, “us” or “our”) collects, uses, shares, and protects personal data in connection with the CoachClip mobile application and related services (collectively, the “App”). By registering for or using the App, you agree to the practices described below. If you do not agree, please do not use the App.

1. Scope

This Policy applies to all individuals who access or use the App (“Users”) and to all personal data we process when providing our services.

2. Definitions

• Personal Data: any information relating to an identified or identifiable natural person.
• Processing: any operation performed on Personal Data, such as collection, storage, use, disclosure, or deletion.
• Controller: CoachClip BV, responsible for determining the purposes and means of Processing.
• Processor: a third party that Processes Personal Data on behalf of CoachClip.
• CoachClip Ambassadors: community accounts managed by CoachClip to seed initial content, each clearly labeled as such.

3. Data We Collect

3.1 Data You Provide

• Registration details: username, email address, password
• Profile information: optional photo, language and sport preferences, age confirmation
• Uploaded Content: videos, images, comments, feedback, and messages within the App

3.2 Automatically Collected Data

• Device data: model, operating system, unique device identifiers
• Log data: IP address, timestamps, session duration
• Usage data: feature interactions, views, clicks

3.3 Cookies and Similar Technologies

• Cookies, web beacons, and local storage used on our linked web platform for performance, analytics, and personalization.

4. Legal Bases for Processing

We rely on the following legal grounds under the EU General Data Protection Regulation (GDPR):

• Contractual Necessity: to provide and maintain your account and the App’s functionality
• Legitimate Interests: to improve security, prevent fraud, and enhance user experience
• Consent: for optional features such as location-based services, cookies, newsletters
• Legal Obligation: to comply with applicable laws and regulatory requests

5. How We Use Your Data

We use Personal Data to:

• Create and manage your CoachClip account
• Host, display, and share your uploaded Content
• Enable community features like commenting, feedback, and messaging
• Personalize your experience (recommendations, content suggestions)
• Analyze usage for performance improvements and abuse prevention
• Fulfill legal and regulatory obligations

CoachClip does not process biometric data and does not perform any automated video analysis. The App does not use technologies such as facial recognition, body recognition, motion analysis, or any other form of automated interpretation of video material. All feedback and advice within the App are provided exclusively by community users. The only exception is content posted by CoachClip-managed “Ambassador” accounts, which is clearly marked as such and serves solely to demonstrate the App’s functionality and encourage community interaction.

6. Data Sharing and Transfers

6.1 Sharing with Service Providers

We share Personal Data only with trusted Processors, including:

• Cloud hosting and video storage providers
• Analytics and crash-reporting partners
• Payment processors (if you purchase paid features)

6.2 Legal Requirements

We may disclose Personal Data to law enforcement or regulators when required by law.

7. Data Security and Retention

7.1 Security Measures

We implement appropriate technical and organizational measures:

• Encryption of data in transit and at rest
• Regular security audits and vulnerability assessments
• Access controls and multi-factor authentication for our staff

7.2 Retention Periods

• Account data: retained for as long as your account is active or until deletion
• Uploaded Content: retained until you delete it or terminate your account
• Logs and analytics: retained for up to 24 months, then aggregated or anonymized

8. Your Rights

Under the GDPR, you have the right to:

• Access the Personal Data we hold about you
• Correct inaccurate or incomplete data
• Delete your Personal Data (“right to be forgotten”)
• Restrict or object to certain processing activities
• Withdraw consent at any time (where processing is based on consent)
• Request portability of your data to another service
• Lodge a complaint with a supervisory authority (for the Netherlands: Autoriteit Persoonsgegevens)

9. Children’s Privacy

• The App is intended for Users aged 16 or older.
• We do not knowingly collect data from individuals under 16.
• If we learn that a User under 16 has registered, we will delete their account and data.

10. Third-Party Login

If you choose to log in with Google or Facebook, we receive basic profile information (name, email) solely to create or authenticate your CoachClip account. That data is handled under this Policy and the third party’s privacy policy.

11. CoachClip Ambassadors

To seed initial content, we deploy CoachClip-managed Ambassador accounts. Each Ambassador profile and post is clearly marked with a profile picture and the label “CoachClip Ambassador Content.” Ambassador Content is provided solely to demonstrate App features and stimulate community interaction; it does not represent independent user experiences. All Users are encouraged to share their own authentic Content.

12. Changes to This Policy

We may update this Policy periodically. Significant changes will be highlighted in the App and, if material, notified via email. The “Effective Date” above will reflect the last update.
